The Challenges of Traditional Software in Construction


At Kiwi Built, we believe in a straightforward philosophy: if a tool isn't effective, find a better one.


And if a better one doesn't exist, build it yourself.


For years, we relied on what was marketed as the "gold standard" in construction management software. We invested nearly $14,000 annually for a platform that promised to manage everything from scheduling to financials. However, the reality was one of frustration.


The software was clunky and overly complicated. It fundamentally misunderstood how a modern, transparent New Zealand building company operates. Instead of streamlining our operations, it created administrative roadblocks.


Faced with this challenge, we made a bold decision: we stopped renting our tools and built our own.


The Open Book Contract Dilemma: Why We Abandoned Our Old Software


The tipping point for us came with Open Book contracts. These contracts are based on trust, where the client pays the actual costs of materials and labor, plus an agreed margin. For this system to work, total clarity is essential.


Our old software claimed to support Open Book contracts, but in practice, it was a disaster. It had a critical flaw: it couldn't easily differentiate between Internal Costs (what we pay our staff) and the Charge-Out Rate (what the client pays).


To make the client's budget appear correct, we had to "manipulate" the system—entering the client's charge-out rate as the "cost." This broke our internal budgeting, leading to a loss of visibility on our actual margins. Conversely, entering our true costs would reveal sensitive figures to the client, which is not how business should operate.


We were forced to implement "plaster-fix" workarounds just to perform our jobs. This was unacceptable for us and our clients.


Introducing Builder Base: Built by Builders, For Builders


Over the last few months, the Kiwi Built team has been developing our proprietary software solution: Builder Base.


Builder Base is a cloud-based project management platform tailored specifically for the New Zealand construction market. It is built on a modern tech stack (Next.js and Firestore), ensuring it is fast, mobile-friendly, and capable of real-time data syncing.


We aimed for more than just a digital timesheet. We wanted a central hub for our business that managed everything from lead generation to final invoicing, without the bloat and confusion of legacy systems.

  • The Company View: We can see the true cost of every hour worked, allowing us to track internal profitability and staff costs with complete accuracy.

  • The Client View: The client sees the agreed Charge-Out Rate as per their contract.


There is no manipulation or "fudging" of numbers. Both budgets are mathematically correct and updated in real-time. This means when a client logs into their portal, they see a transparent and accurate reflection of their spending, while we maintain a clear view of our business health.
